Current Students
We have finished the migration of over 30,000 student email accounts over to Microsoft 365 and their email platform, Outlook. We copied over only your email. but you may copy your Google Drive content over to Microsoft OneDrive. The student quota in Google Drive will also be reduced to 5GB at the end of January, 2024. If you need more storage, OneDrive has a larger limit (1TB). You may also make a backup of your Google data using Google Takeout.

Former Students
We will be creating new accounts for you in Microsoft 365, but we will not be copying your email over to Microsoft 365. We will also delete your Google accounts in January. The exact date will be announced later. You may download a copy of your Google content using Google Takeout. See the training video link above.
Retirees
We will be creating new accounts for you in Microsoft365, but we will not be copying your email over to Microsoft 365. We will also delete your Google accounts shortly after the transition. Gmail to Microsoft 365 Outlook
- All college employees, including student workers, should now use Outlook for email.
- When we turn off Gmail for employees, all email in Google will be purged to make room for storage in Google Drive for everyone.
Google Calendar to Microsoft 365
- Only your primary calendar was copied over normally.
- Your other calendar events will be copied over to your email, but you will need to create the replacement calendar(s) and move these event to them. Make an appointment with our technical trainer for training on how to do this.
Google Drive to OneDrive
- We copied the materials that you had in Google Drive over to OneDrive when your email was migrated in 2023.
- We will not be deleting any content out of Google, but we will be setting quotas on all accounts in late January, 2024. Employees will have a 25GB quota.
Department and Shared Email Accounts
We have created Microsoft Teams and a separate shared inbox for all department email accounts. At this time, unless turned off by an end user, the emails for shared inboxes are going to both Gmail and Outlook. Also, we have configured access the the Outlook and Teams based on the information we had when we started the migration. If you do not have access to a Team or Outlook shared account, please ask the account owner for access. Account owners may setup access to the shared inboxes, and are the only ones that may direct ITS to change access to shared accounts.
We are planning on turning off shared email access in Gmail at the end of January, 2024. Please work with your supervisor to coordinate your transition to Outlook by that time.
To preview the shared inbox, login into your own email, click on your login in the upper right corner and click on the "Open another mailbox" link. Start typing the email address you want to preview, and select it from the list. Last, click open and a new browser tab will open with the email for the shared account.
